The only part I find confusing is your system bombards the customer with repeated emails. I would recommend you lower the amount. There are to many identical emails stating the same thing.

Would be great if there is a standard form for all the individual hirers with the important details. Lots of things differ from each company to company such as fuel, deposit, kms etc 👍
